How many drinks per day should the machine be able to handle?

The number of drinks per day is a key factor in choosing the right machine. You need to make sure your office coffee solution is robust enough to satisfy your staff and visitors' needs.

We recommend considering a coffee machine that will serve more than double the amount of staff you have on site. This is because 63% of Britons drink coffee regularly - averaging 2 drinks per day. Use our workplace coffee calculator to get an idea of how many people drink coffee in your workplace.

Large offices with 50+ employees may require a machine capable of 200+ cups per day or even multiple machines.

If you have a small office with 10-20 staff, a machine with a capacity of 25-50 cups per day may be sufficient. Sadly, we don't supply Bean to Cup coffee machines for small offices (approx. 10 staff) but you can purchase a business POD machines from Lavazza UK. If you have up to 20 staff, a Flavia coffee machine might be ideal for you.

Should I choose a machine with fresh milk or powdered milk?

Fresh milk machines provide higher-quality drinks, but they require regular cleaning and maintenance.

Powdered milk machines are lower maintenance but may not deliver the same taste and texture. Some machines offer both options, allowing flexibility.

You need to consider your reasons for investing in a workplace coffee solution and if you've got the capacity to maintain the machine. If you're unsure, speak to one of our experts for free, tailored advice.

Should coffee be free or paid for by staff?

This depends on your company culture. Offering free coffee can boost morale and productivity, while a paid system (e.g., a coin-operated or card-based machine) can help cover costs and become a revenue generation tool. Many businesses opt for subsidized pricing, where employees pay a reduced rate.

In our experience, the benefits of providing free premium coffee in the workplace far out ways the cost of the coffee machine. However, the "right" decision is personal for your business. With the cost of Coffee from high-street coffee shops constantly rising, many staff will be elated with subsidized workplace coffee - especially if it's high-quality Lavazza coffee.

What service levels should I consider?

Look for machines with automatic cleaning cycles to reduce maintenance. Some suppliers offer service contracts, ensuring regular maintenance and repairs. Lavazza Professional UK offers a range of Bean to Cup machines on both DIY and FMS (Fully Managed Service) options, allowing us to be flexible for your needs.

What types of drinks should the machine offer?

Consider whether your staff prefers espresso, cappuccino, latte, flat white, or hot chocolate. Some machines also provide tea of fresh milk options.

We've ensured that all of our bean to cup machines come with the UK's favourite coffee drinks as standard.

We've even introduced a premium bean to cup coffee machine that offers flavoured syrups. This is a very popular choice as staff can customise drinks to their tastes.

Should I buy or lease the machine?

Buying a machine is a one-time investment, but leasing can provide flexibility and maintenance support. Leasing may also allow for upgrades to newer models without a large upfront cost.

How easy is the machine to clean and maintain?

Machines with automatic cleaning cycles reduce the burden on staff. Fresh milk machines require daily cleaning, while powdered milk machines need less frequent maintenance.

Your site will be responsible for keeping your coffee machine clean. So this can be an important factor when choosing the right solution for you.

As standard, we will ensure to provide staff training on the machine maintenance, when we install the machine on site. We also provide online cleaning and maintenance guides, to walk your team through the process.
